Why applications get rejected before a human reads them

Updated 2 September 2026 · 6 min read

Applying into silence is demoralising, and the causes are usually mechanical. Most are fixable in an afternoon.

The common causes

  • Knockout questions: right-to-work, licences or mandatory registration answered wrongly filter you out instantly.
  • Parsing failure: a design-led layout that reduces to unreadable text once extracted.
  • Vocabulary mismatch: you do the work, in different words to the ad's.
  • Timing: many shortlists are drawn within the first week of posting.
  • Volume applying: fifty untailored applications routinely lose to five tailored ones.

A tighter routine

  • Keep one honest master CV holding every fact about your career.
  • Per application, re-order and re-word from the master to match the ad. Never add a fact.
  • Check the plain-text version parses cleanly before sending.
  • Track what you sent and when, so follow-ups are specific.
  • Apply early, and follow up once after a week.

Where a tool helps

The mechanical parts — comparing an ad against your CV, spotting the missing terminology, re-writing what you already have to match — are exactly what CareerMatch automates. The judgement about which roles to chase stays yours.
